General information

Hiring studio is the dedicated place to create/add new vacancies and add the vacancy and flow settings. Also in hiring studio you will be able to change or delete existing vacancies. And have a full overview of all the vacancies that are already created.

Keep in mind when creating a new vacancy or editing an existing vacancy in the hiring studio you can only choose from existing modules.

Vacancy overview

The Vacancy page provides an overview of all vacancies created within the account. From here, users can search, filter, and access vacancies, or create new ones.

Key Features

  1. Search Bar – Search vacancies by internal name or ID. 
  2. Filters – Filter by status (Open, Draft) or view all vacancies. 
  3. Vacancy Table Column Headers - Columns are sortable.
  4. Vacancy Table – Displays status, internal vacancy name, default language and translations, creation date, and last modified date. 
  5. Copy Vacancy Link – Click the link icon to copy the Candidate Journey direct link.
  6. Create Vacancy – Use the + Create vacancy button to start configuring a new vacancy.

Tip: Use clear, descriptive internal vacancy names to make searching and tracking easier across large accounts.

By clicking on one of the vacancies displayed in the overview you will get in to the vacancy settings for this vacancy. 

Vacancy statuses

Draft

Everytime a vacancy is created and saved it is automatically saved as a draft vacancy. Once the vacancy has been moved to any other status it is not possible to recover it to status draft. This means only newly created vacancies without candidate registrations will be able to have status draft.

Open

Once the vacancy is created, all configurations are saved you can move the vacancy to open. You can only go through the candidate journey if the vacancy is in status open, so also for testing before ‘go live’ the vacancy needs to be in status open. If a job posting is available online but the connected vacancy is not in status open, candidates won’t be able to register.

Closed

When the vacancy is no longer in use (this could mean temporarily closed or indefinite closed) the vacancy needs to be moved to status closed. New candidates can no longer register for the vacancy when it is in status closed. In progress candidates will still be able to continue their existing application process and they won’t lose their progress. Closed vacancies can be recovered to open, so if the vacancy only needs to be closed for X amount of time, it is save to move the vacancy to close. Later on you will be able to move the vacancy from closed to open.

Archived

You can archive vacancies if you never plan to open them again. These vacancies will be removed from the vacancy overview in Hiring Studio. You will be able to navigate to archived vacancies using the vacancy status filter on the overview. You can open the archived vacancies but you can not perform any actions. It is possible to copy an archived vacancy and use that as a new vacancy. This vacancy will be created as draft vacancy and copies all fields from the archived vacancy.

Sharing a vacancy

The paperclip icon is the share link for vacancies. This link will direct someone straight to the candidate journey of this vacancy.

Make sure that customers with an ATS-Magic link strategy, do not send this link directly to candidates as this is not the ATS vacancy link.

 

Configuring/Adding a new vacancy

Keep in mind that all vacancies that are being added to the account can only contain modules, matching profiles, locations and themes that are already created and available in the account. 

To add a new vacancy you can click on the blue button that says: Add vacancy. Once you clicked that you get into the edit mode of the new vacancy you are creating. Do you want to learn more on how to create a vacancy? Check out this article.

General Troubleshooting

If you encounter any technical difficulties please try the following steps to resolve it:

  1. Check if you have a stable internet connection and there are no error signs
  2. Refresh the page
  3. Log out and log back in
  4. Open the website in a different browser. Preferred browser is Google Chrome
