Harver Integration Configuration Steps
Login to Harver platform to perform below steps. You must be a Harver Admin to be able to complete all these step.
- In Harver platform, go to Integration Menu tab and clicks Add new integrations. Select the iCIMs Marketplace from drop down and Clicks Add Integrations.
- This will start configuring the integration and progress will be shown. Once completed, click on Continue to Overview.
-
In the General section, select the Integration Pattern(s) that you intend to use. The options available include:
-
ATS First Inline (seamless experience - application complete)
-
ATS First Ad-Hoc (interactive - workflow status change)
-
-
Next, go to the Credentials section and Click Harver to ATS tab. Here, you can configure the credentials provided by iCIMS.
Note: iCIMS supports two methods of Authentication - oAuth2 and Basic Authentication.
Harver has the oAuth2 Authentication method selected by default. To continue with oAuth2, select the “Edit ATS credentials” button and provide the following details, provided by client or iCIMS:
-
Client ID
-
Client Secret
-
Customer ID
To switch to Basic Authentication, click the “Edit ATS credentials” button and select the “Authentication Method” modal to switch from oAuth2 to “Basic authentication.”
After switching to “Basic authentication,” enter the following details provided by iCIMS:
- Username
- Password
- Customer ID
-
-
Go to the ATS to Harver tab where you will see the Harver API credentials (Username and Password) that will be used for connecting to Harver. Copy these Harver API credentials, the Harver API endpoint and IP addresses for whitelisting mentioned above and share with iCIMS:
-
Next go to the ATS to Harver section and configure the following:
-
Multi-Phased Assessments Configuration: By activating this feature, this will allow recruiters to select more than one Harver assessment package (vacancy) at different points in their recruiting process when inviting candidates. In iCIMS, the recruiter will be prompted with a “Confirm or Modify” package button. The assessment packages must be selected in Harver.
If you are using a single assessment only on a job, then you should not enable this feature; assessment package will be selected in iCIMS. -
Assessment Status: Enabling this feature will let iCIMS know the candidate application is in progress; in iCIMS, users will see the In-Progress status.
-
-
Go to the Harver to ATS section and click the Assessments tab:
-
Assessments Status: These values will be defaulted. This is used for letting iCIMS know the candidate application is completed; in iCIMS, users will see the Completed status.
- Click the Reports tab. Select only one report type to be sent to iCIMS.
The ATS field ID will be defaulted
-
- Once all configurations are completed, go back to the General section. Enable the integration:
If enabling integration fails, error will be shown. Please fix particular issue to enable the integrations successfully.
Note: that incase you want to discontinue with ATS or disable integration due to some reason, same configuration toggle is used to disable the integration with ATS.
iCIMs Integration Configuration Steps
To configure the Harver credentials, endpoints, whitelisting IPs and enabling the Harver integration in iCIMs ATS, contact iCIMs support team on steps.
Adding Harver in workflow to invite candidate
To invite a candidate to Harver, the first step is to add the Harver assessment on the job (only if you are using a single assessment).
-
Go to the job in iCIMS and select the Harver assessment package in the Assessment Type field.
Note: iCIMS typically helps load assessment packages so they appear in this field. -
When candidate applies for the job,
-
If its application complete (inline) flow, when the candidate fills the application in iCIMS until the last step, there will be a link displayed for the candidate to proceed to the Harver platform to do assessment.
-
If its workflow status change (adhoc) flow, recruiters can invite candidate(s) to take the assessment by selecting the candidate (See steps below).
Please note: When you create a test applicant, create a Candidate not a Person.
-
Inviting candidate(s) to take an assessment
Follow the steps below to invite candidates to take assessments.
-
Go to Candidate Page and click on “Submit to Job”
- Then Submit to a Workflow - Double Click to add to the Selected area and then “Submit“
- Next, go back to the job and under the People tab, you will see the candidate is under the New Submissions panel; select the checkbox next to the candidate.
- In the bottom, click on “Advance“ and then “Send to Harver“
Note: Harver will receive a request and will respond with an Assessment link email to the candidate
A Summary page will show “Invitation is sent to Candidate“
Please note the email invitation from Harver is configurable. Below is an example of the email to the candidate:
Candidate progress & results
When the candidate is moved to the Send to Harver workflow status, the candidate will be redirected to Harver to take the assessment.
You will be able to see the assessment status In Progress in iCIMS.
After the assessment is completed by the candidate, you will see the assessment status Complete and results are in iCIMS; this is found under the Assessments section> Screen tab.
Multi-Phase Support
Recruiters can invite candidates to take an additional assessment by advancing the candidate to the Send to Harver workflow status. Assessment packages are selected in Harver rather than in iCIMS. Recruiters must click the Confirm or Modify Package button and be redirected to Harver so they can select the assessment(s) they want the candidate to take.
Validating Integration Setup
Please take a moment to ensure your Integration setup was configured successfully. We recommend you complete the following steps:
- Create a test Job Requisition for a position that will leverage an assessment.
- Add the appropriate Harver Job Code/assessment to the test requisition.
- Complete a candidate application, including the assessment.
- Confirm the candidate experience.
- Review results on hiring dashboard in your ATS and confirm you see the following:
- Assessment Recommendation.
- Link or access to the full report details.
