Overview

In April 2025 we introduced new proctoring capabilities to our set of Fraud Detection tools. They include:

  1. Periodic photos taking: photos of the candidate are taken during the candidate journey. Those pictures can then be viewed by the recruiter to make sure the person interviewed and hired is the same one as the person who took the assessments. It can also allow identifying if more than one person was taking the assessment. (April 2025)
  2. Copy-Paste prevention: Block the ability to cut and copy text from the candidate journey or paste text into the candidate journey. While a person with the right technical knowledge can probably find ways around it, it makes using 3rd party tools (such as ChatGPT) harder and so less effective.
  3. Change Focus Detection: Whenever the candidate changes focus (switch tabs in the browser or changes a window, or even clicks an open window on another screen), we detect this. The first few times, we remind the candidate that they should not do it. If the focus change happens too frequently, which may suggest that the candidate is getting help on another window (copy-pasting from/into ChatGPT, messaging another person, watching a cheating-guide in youtube, etc.) - we notify the recruiter.

Here are the answers to the questions you were probably asking yourself:

  • Yes, proctoring only works for Hiring Studio, All-New Candidate Journey.
  • Yes, proctoring is configured per vacancy.
  • Yes, pictures are taken only if the candidate gave consent to it.
  • Yes, whether the consent is mandatory or optional is configured per vacancy, to fit the different regulation in different countries.
  • No, at the moment we cannot split the proctoring capabilities - it’s all three of them or nothing (per vacancy)
  • No, AI is not involved - we only take pictures of the candidate and display them to the recruiter.

The candidate experience

When a candidate starts a journey in a vacancy that has proctoring turned on, the first page they will see after the landing page authentication, before any module, will be the proctoring pages:

  1. Consent
  2. Permission
  3. Image check

Consent

The first page after the landing page authentication explains to the candidate that their picture will be taken multiple times during the assessment and that the browser activity will be monitored (“change focus” detection), and why we do that.

Optional Consent

In case the consent is optional, the candidate can either accept or decline.

If they accept, periodic pictures will be taken and displayed to the recruiter, and focus-change will be monitored and potentially displayed to the recruiter.

If they refuse, the two capabilities will be disabled. The recruiter will be notified that the candidate did not give consent.

In both cases, copy-paste will be blocked (as blocking copy-paste in our journey doesn’t require consent).

Mandatory Consent

When the consent is mandatory, the candidate has to provide consent to proctoring in order to continue the journey. The only alternative is to close the tab and not take the assessment. Obviously, in this case, no pictures will be taken.

Permission

After providing consent, the candidate also needs to provide permission for the camera to take photos. The process is identical to the one in Virtual Interview, and we also used the same screen (we may update the text in the future).

The candidate should click “Allow access” and then, depending on the browser and OS, allow the usage of the camera.

Image Check

The last step is to take a picture to make sure everything is working properly

Once the photo is verified, the candidate journey will begin. Depending on the OS and browser, there may be a system/browser indication when a photo is taken, or throughout the entire journey, but apart from that, nothing changes from a regular journey.

Setting up proctoring

Harver Admin: Enable Proctoring for an Account

In order to enable proctoring for an account, please follow our internal guide.

Hiring Studio user: Turn on Proctoring for a vacancy

Once proctoring is enabled for the account, anyone with access to the Hiring Studio can turn on proctoring for any vacancy in the account:

  1. Open a vacancy for edit or create a new vacancy
  2. Scroll to the Proctoring section
  3. Enable proctoring
  4. Choose whether consent is:
    1. Mandatory - Candidates must provide consent in order to proceed. The only other option is to drop off.
    2. Optional - Candidates may refuse to have their activity monitored (periodic pictures and out-of-focus detection: Copy-paste will still be blocked as it is not considered monitoring). The recruiter will be notified that the candidate refused providing consent.

If you are not sure which option to choose, choose optional consent to avoid potential legal issues.
