Creating a New Vacancy

When you click + Create vacancy, you are prompted to choose between two setup options:

1. Standard Job Profile - Recommended

Use one of Harver’s science-backed, pre-validated job profiles to quickly create a reliable vacancy.

Recommended for most users Provides a complete matching profile and assessment flow Ensures high prediction quality with minimal configuration. Learn more about Standard Job Profiles (IBP'S).

Click Select to continue with this option.

2. Custom

Build a vacancy from scratch with fully customizable matching profiles and assessments.

Intended for advanced users Allows full flexibility over modules, Matching Indicators, and scoring models Suitable for specialized roles or unique hiring processes

Custom Vacancies require custom Matching Profiles, which are a restricted feature due to their complexity and the potential impact of misconfiguration on assessment accuracy and hiring outcomes.

Create a Vacancy with a Standard Job Profile

When creating a vacancy using a Standard Job Profile, you will be prompted to choose the job that best matches the role you are hiring for.

1. Select a Job

1. Industry Filter

Use the industry dropdown to narrow the list of jobs based on a specific industry.

Default: All industries Selecting an industry reduces the list to only relevant job profiles.

2. Job Search

Use the search bar to quickly find a job profile by typing the job name or related keywords.

Results update instantly as you type.

3. Job List

Browse the list of available job profiles. Each job card includes:

Job title Short role description Job level tags (e.g., Individual Contributor, Manager) Functional tags (e.g., Sales, Customer Service)

Click a job card to select it.

4. Continue

Once a job is selected, click Continue to proceed with creating the vacancy using the preconfigured, science-based Matching Profile and assessment setup.

Tip: Use the job search and filters together to quickly find the closest match for your customer’s role.

2. Select a Norm Group

After choosing a Standard Job Profile, you must select a norm group, which determines how candidates’ assessment results are interpreted and compared.

What Are Norm Groups?

Norm groups define the regional context used to score candidates. Social, cultural, and labor-market differences across regions influence typical assessment performance; norm groups ensure fairness and accuracy by comparing candidates to the appropriate regional benchmark.

Available Norm Groups

  • North America 
  • Norm Europe Selection 
  • Norm Asia Pacific Selection 
  • Norm Latin America Selection 
  • Norm Middle East & Africa Selection

Select the region that matches where you are hiring or where the candidate pool is primarily located.

Important

This selection cannot be changed once the vacancy is created.

Choose carefully to ensure the correct scoring and interpretation of results.

 

Click Create vacancy to proceed. 

Click Cancel to return without saving.

3. Configure the Vacancy

After selecting a Job Profile and Norm Group, you are taken to the Vacancy Configuration page. This page allows you to review and customize all settings related to the vacancy before opening it for candidate applications.

 

Internal Vacancy Name

Provide a clear, internal-only name for the vacancy.

This name is not shown to candidates. Helps users easily identify and manage vacancies across the account.

Languages

Select which languages candidates can choose from during the application journey.

Click Add languages to include additional options. Ensure required landing pages, themes, and end pages also support those languages.

Candidate Journey

The Candidate Journey is a sequence of modules candidates complete during the application process.

Job Profile–based journeys are preconfigured with recommended assessments. You can add: Landing Pages Assessment Modules Skill-based Assessments End Pages 

Use Add module, Add Landing Page, and Add End Page to customize the flow.

Matching

Matching determines how well a candidate fits the role based on their assessment results.

Matching Profile is automatically selected when using a Standard Job Profile. Matching score labels (e.g., Poor Fit, Good Fit, Great Fit) are preconfigured. 

An Interview Guide is also provided for hiring teams. Toggle Show Interview Guide on Candidate Detail Page to enable visibility. 

Matching settings are locked when using Standard Job Profiles to ensure scientific accuracy.

Locations

Associate the vacancy with one or more locations or regions.

Only locations with active status can receive applications. Click Add locations / regions to configure.

Theme

Select the visual theme applied to the Candidate Journey.

This includes branding elements such as logo, colors, and buttons. Default theme is selected automatically but can be changed.

Communication

Choose which email template set will be used for all communication related to the vacancy (e.g., registration, reminders, completion emails).

Select from available template sets in the dropdown menu.

Reapply

Controls whether candidates can reapply to the same vacancy after completing or being rejected.

Enable the toggle Allow candidates to reapply to use the vacancy’s reapply rules.

Authentication Strategy

Define how candidates authenticate during registration, depending on your ATS integration strategy:

  • Harver First Candidates register on Harver first. Harver sends communication. 
  • ATS First Candidates register via ATS, then connect to Harver. Harver sends communication. 
  • ATS Only ATS manages registration and sending communications. Candidates do not receive messages from Harver.

URL Parameters

Add URL parameters to route candidates to specific requisitions or locations when using ATS integrations.

Up to 5 parameters can be added. Recommended parameters: client_location_id vacancy_id 

You may also enable Make URL parameters mandatory, which prevents applications if required parameters are missing.

Save and Open Vacancy

Click Save to store changes. Click Open vacancy when you are ready for candidates to begin applying.
