The Candidate Overview is where you can manage all candidates across your account.
From this page, you can:
- Search for candidates by name or email
- Filter candidates by matching score, vacancy, location, application status, and more
- Sort candidates using any visible column
- Customize columns to show the information most relevant to your workflow
- Start rating Virtual Interview submissions (when applicable)
- Change Status for candidates Individually
- Change Status for candidates Bulk
This page gives recruiters a complete overview of all applicants and helps them quickly find and manage the right candidates.
The columns are sortable.
Viewing Candidates
Select a candidate by clicking on the corresponding row in the table.
This will open the Candidate Details Page, where you can view all detailed assessment results, module outcomes, and the candidate’s full application.
Search & Filtering Options
The Candidate Overview includes a set of filters that help recruiters quickly narrow down candidate lists and find exactly who they need.
The available filters include:
Search Bar
A free-text search box allows you to search for candidates by:
- First name
- Last name
- Email address
This is especially helpful for quickly locating a specific candidate. Type minimum 3 letters to search.
Matching Score
Filter candidates based on their overall matching score.
You can set a minimum, maximum, or range (e.g., 40–80%) to focus on the most relevant applicants.
Vacancies
View candidates who applied to specific vacancies.
Select All Vacancies, or Choose one or more individual vacancies to display only those candidates.
Locations
Filter candidates by the locations they are assigned to.
Select All locations, or Choose specific locations If Regions are used, you will also see region-based filtering options.
Application Status
Filter candidates by their current status in the hiring process, for example:
New, In progress, Hired or Rejected (status types vary per account configuration)
Time in Status
Filter based on how long candidates have been in their current status.
You can set a specific number of days (e.g., More than 5 days) to identify stalled applications.
Adaptive Filtering Behavior
Please note that the filtering system is dynamic and adapts automatically based on your previous selections. This ensures that you only see filter options that are relevant to the current candidate set.
For example:
- If you first filter by a specific vacancy, the Locations filter will only show the locations where candidates for that vacancy exist.
- Similarly, the Application Status filter will only show the statuses that actually occur among candidates in that vacancy. If you filter by a specific status, such as Invited, the Vacancies filter will only display vacancies where there are candidates currently in the Invited status.
This adaptive behavior prevents empty filter results and helps you navigate large datasets more efficiently.
Customize Columns
You can personalize the Candidate Management table by selecting up to five (5) columns to display at once. This helps you focus on the information that matters most for your workflow.
To customize:
- Click Customize Columns on the top-right of the candidates overview.
- Choose from the available options.
- Drag and drop to reorder the selected columns.
- Click Continue to apply the changes.
This customization is user-specific, meaning each user can tailor the view according to their preferences without affecting anyone else.
Status Changes
Recruiters and Admins can change candidate statuse individually by candidate or bulk (multiple candiates at once). Learn more about status changes: Application Status & Locations Status.
Important: Not All Statuses Are Available
Status transitions follow predefined rules. This means:
- Only valid next statuses are enabled.
- Statuses that cannot be selected from the candidate’s current state appear disabled (greyed out).
For example, depending on your configuration:
- You may not be able to move a candidate back to New.
- You may only be able to move forward to statuses such as Shortlisted, Talent Pool, or Invited.
These restrictions ensure process consistency and prevent invalid or conflicting transitions.
Status changes are applied immediately and can trigger corresponding automations or notifications, depending on your communication settings.
Individually by Candidate
Candidate statuses can be updated directly from the Candidate Overview to reflect where a candidate is in the hiring process.
To change a candidate’s status:
- Click the three-dot menu next to the candidate.
- Select Change Candidate Status.
- Choose from the available statuses:
- New
- Shortlisted
- Talent Pool
- Invited
- Hired
- Rejected
Status options may be enabled or disabled depending on the candidate’s current stage and your account configuration.
When you choose a new status for a candidate, a confirmation window opens where you can review and send a corresponding status email.

Bulk status changes
Bulk status change allows recruiters to update the status of multiple candidates at once directly from the Candidate Overview.
Bulk status changes are only available when all selected candidates share the same vacancy and the exact same set of locations.
This means:
- If you select candidates who applied to different vacancies, bulk status change will be disabled.
- If the candidates have different assigned locations (even partially different), bulk status change will also be disabled.
- To enable bulk changes, ensure that all selected candidates match both: Same Vacancy Same Location(s)
This restriction ensures that status-change rules, email templates, and configured workflows apply consistently to all candidates in the selection.
How to perform a bulk status change:
- Select Candidates
- Use the checkboxes on the left side of the candidate list to select one or more candidates.
- The action bar will appear once at least one candidate is selected.
- Choose “Change Candidate Status”
- Click the “Change Candidate Status” action button at the top or in the bulk action bar.
- Select the New Status
- A dropdown will show all possible statuses that can be applied to the selected candidates.
- Only allowed statuses will be enabled. Statuses that are not valid transitions (based on the candidates’ current statuses) will appear disabled.
Confirm the Action Click Change Status to apply the selected status to all chosen candidates.

- The message to describe your action, such as:
- "You are going to change the status of X Candidates to <STATUS>"
