Recruiter notifications keep you informed when candidates complete their assessments, so you can review them without having to monitor the platform manually. Notifications are configured per vacancy and delivered by email in near-real-time or as a daily summary.

This article explains how notifications work, when to use them, and how to configure them on a vacancy.

Notifications are configured at the vacancy level. The options available to you depend on two things:

  • The candidate registration method for the vacancy (self-registration link or recruiter invite)

  • The authentication strategy (Harver-First, ATS-First or ATS-Only).

When to use notifications

Use notifications for vacancies that are not connected to an ATS, or that use a Harver-first authentication strategy.

⚠️ Important Notifications are not recommended for vacancies linked to an ATS. In those cases, notifications and updates should be handled by the ATS itself to avoid duplicate communication. Vacancies configured as ATS-only do not support notifications at all.

How notifications are delivered

  • Notifications are sent per vacancy. If a recipient has access to several vacancies and candidates complete assessments in more than one, a separate email is sent for each vacancy.

  • Emails are delivered 5–10 minutes after the triggering event when "After each completion" is selected.

  • The email template is standard and not editable.

  • Each email lists up to 10 candidates. If more than 10 candidates qualify within the time frame, the additional candidates are not listed individually, instead, a link is provided to view all candidates on Harver, pre-filtered to the vacancy.


Configuration options

The notifications panel appears on the vacancy setup page and contains three sections: Candidate registration, Authentication strategy, and Notifications.

Candidate registration

Choose how candidates register for the vacancy. This setting determines which recipient options are available.

  • Self-registration link, Candidates register and apply directly using the vacancy link. There are no recruiter invites for this vacancy.

  • Recruiter invite, Recruiters manually invite candidates through Harver Invitations. Each invited candidate is associated with the recruiter who invited them.

Authentication strategy

If your vacancy is integrated with an ATS, select the strategy that matches your integration pattern:

  • Harver first, Candidates register through Harver and receive emails from Harver.

  • ATS first, Candidates register through the ATS, and their records are mapped to Harver. Candidates receive emails from Harver.

  • ATS only, The ATS manages registration and email communication. Candidates cannot register through Harver or receive emails from Harver. Notifications are not supported in this mode.

Notifications

Turn on Send notifications when candidates complete the assessment to enable email notifications for the vacancy.

Once enabled, configure the recipient and the delivery frequency.

Recipient options

The available recipient options depend on the candidate registration method.

Only one recipient option is available:

  • All recruiters with access, The notification is sent to every recruiter who has access to the completed candidates based on their assigned regions and locations. If a recruiter can sign in and see a candidate, that recruiter will also receive a notification about that candidate. Admins are not receiving notifications.

For Recruiter invite vacancies

Two recipient options are available:

  • Recruiter who invited the candidate, The notification is sent only to the recruiter who personally invited the candidate. With this option, each recruiter (and admin) receives notifications only about candidates they invited themselves.

  • All recruiters with access, The notification is sent to every recruiter who has access to the completed candidates based on regions and locations. Admins are not receiving notifications.

Notification timing

Choose how often notifications are sent.

After each completion

An email is sent every time a candidate completes the assessment, with a delay of 5–10 minutes. If multiple candidates complete the assessment within the same window, all of those candidates are grouped into a single email.

Availability: Both Self-registration link and Recruiter invite vacancies.

This option is not recommended for high volume roles due to the sheer volume of emails would just fill up the inbox.

Daily summary

One email per day is sent listing every candidate who completed the assessment during that day in this vacancy.

The delivery time of the daily summary is configurable. Select the hour and time zone that match your recruiters' working hours, so the email arrives when they are ready to review new candidates.

Please note, delivery may occasionally be delayed by a few minutes. For example, if the daily summary is scheduled for 9:00 AM, the email may arrive any time between 9:00 and 9:05 AM.

Availability: Both Self-registration link and Recruiter invite vacancies.

What happens next

Once notifications are enabled, recipients will start receiving emails as soon as candidates complete the assessment, based on the timing you selected. Each email contains the candidate names, direct links to view each candidate in the Candidate Details Page (CDP), and a button to view all candidates for that vacancy in Harver.

Email content

The email template is standard and cannot be edited. Each notification contains:

  • The vacancy name in the subject line and body

  • The total number of candidates who completed the assessment in the relevant time frame

  • A list of up to 10 candidate names, each with a View in CDP link

  • A View candidates button that opens the candidate overview page, pre-filtered to the vacancy

  • A note explaining why the recipient received the email and how to change notification preferences

If more than 10 candidates qualify for a single email, the first 10 are listed individually and a message indicates how many additional candidates are included. A View all candidates button is shown to access the full list in Harver.

Frequently asked questions

Why are notifications not available for my vacancy?

The most common reasons are:

  • You’re account has a legacy account type (called “regular account”) that is not supported in this feature.

  • You are using legacy-vacancies.

  • Your vacancy uses the ATS only authentication strategy. In this mode, notifications are managed by your ATS, not by Harver.

Can I receive a single email covering multiple vacancies?

No. Notifications are sent per vacancy, because each vacancy can have its own timing settings and its own linked locations. If a recipient has access to multiple vacancies and candidates complete assessments in more than one, a separate email is sent for each vacancy.

Why am I not receiving notifications for candidates a colleague invited?

If the vacancy is configured with Recruiter who invited the candidate as the recipient, only the recruiter who personally invited a candidate receives the corresponding notification. To receive notifications for all candidates a recruiter has access to, use the All recruiters with access option.

Can I customise the email content?

No. The email template is standard and cannot be edited.

What happens if more than 10 candidates complete in the same time frame?

The first 10 candidates are listed individually in the email. The remaining candidates are summarised, and a View all candidates link opens the candidate overview page in Harver, pre-filtered to the vacancy.

This approach provides a better experience for two reasons.

  • First, reviewing a large list of candidates is easier directly on the platform, where you can filter, sort, and take action.

  • Second, additional candidates may complete the assessment between the time the email is sent and the time it is read, opening the candidate overview ensures you see every candidate who is ready for review, including those who completed after the email was generated.
